1.1

The pharmacy is not assessing and managing all the risks associated with supplying medicines online.

Following : Guidance for registered pharmacies providing pharmacy services at a distance, including on the internet.
OTC and P items such as laxatives and Hydrocortisone pose a safety concern and so further records and improvement to the service is required to minimize this risk.

Regarding P meds - To clarify which medications are not OTC, Physical locations of P Medicines and high risk OTC (e.g. Laxatives, HC cream) have been highlighted outside the computer system by placing clearly visible stickers to differentiate the items.

Risks associated with the online service and medicines supplied:


Robust Business continuity plan including data security and equipment.

Records to keep: Log of OTC items that may be liable to abuse. This will be kept in the spreadsheet with P meds so that double entries (repeat purchasers) can be seen.

Cancellations record - showing why orders were cancelled e.g. excess purchasing. Tailored message along with cancellation giving the purchaser an option for counselling.


- The updated questions asked to customers are inputted and checked against all other sales of P and other high risk medicines through a spreadsheet. - A record of all sales checked and/or refused is now made with the reason of refusal noted. - Purchases of both P medicines and High risk medications are all checked against one another to pinpoint any possible conflicts or issues. - Specific emails pertaining to the refusal and medication are provided with further information and an opportunity for the customer to communicate.

The pharmacy cannot show that it is monitoring and reviewing the risks associated with selling medicines through third-party websites. It is selling unusually large volumes of some medicines that can be misused.

Carry out an audit to monitor and review the risks of selling via eBay and Amazon. We will look at volumes sold of high risk items in relation to other items.

This will be reviewed every 6 months and when any changes are needed to be made. Also, to carry out a reactive review if issues are identified or changes to the service etc.

The pharmacy’s systems for monitoring some over-the-counter medicines sales are not robust, meaning that some people may be able to obtain medicines which are not suitable for them.

Questionnaire sent to customers for P meds has now been updated to include - the item purchased, - if the item has been used before and if so, how long since last use? - Also to further differentiate customers, their house name or number is also noted.
Same spreadsheet with the responses from this questionnaire will be used to add in users purchasing OTC items liable to abuse or misuse e.g. Laxatives. This will allow us to identify any person purchasing in excess or incorrectly.


There is added columns to this spreadsheet for CHECKED and REFUSED. This will indicate our refusal or checked status for these purchases.

If a customer is refused items and orders cancelled. A message offering advice regarding the misuse of the particular medications and counsel is offered.

An updated example of this message is below:

Hi  Unfortunately we are unable to  process this quantity of this item. This  is to keep in line with Pharmacy Rules  and Regulations. We have refunded  you.  If you have any queries or would like to  discuss this further, please do  message us.

More information will be added to these emails to tailor to specific medicines e.g. advice on correct use of laxatives if excess amount of laxatives are



purchased. This will allow a form of counsel and advice.

We have also created and printed out extra advisory labels on high risk items or that require additional information. This will be placed into each and every order for these items. e.g. For the sale of hydrocortisone cream we have now created a label that reads: -NOT TO BE USED ABOVE THE NECK LINE OR FACE. -FOR 12 YEARS AND OVER ONLY. -MAXIMUM USE: SPARINGLY TWICE DAILY FOR UPTO 7 DAYS. -IF YOU HAVE ANY QUERIES REGARDING THIS ITEM PLEASE CONTACT US VIA THE eBAY MESSAGING SERVICE.
