The pharmacy does not keep accurate records as it should by law, including records for supplies of private prescriptions and responsible pharmacist records.

As a pharmacy we have moved from a PMR record keeping system for private prescriptions to logging each private prescription manually on the Pharmsmart platform to ensure no details are missed from entries as it’s a more comprehensive record with all details to ensure our private prescription records are complete and legal.

For the RP log we have also synchronised our logs. Instead of having two logs; one on the PMR system and one on Pharmsmart, we now only use the Pharmsmart log to ensure a clear and accurate audit trail. Our SOP’s have been updated to reflect this and all pharmacists who work at the premises have been made aware of this change. We have decided to do this so all records are on one platform and this will be ensure compliance and more engagement with the Pharmsmart platform

The pharmacy does not store and manage all its medicines properly. This includes for higher-risk medicines requiring safe custody storage and for medicines the pharmacy keeps in the fridge.

Following on from the inspection we have ordered and installed a new large CD cabinet in the main dispensary. This has nullified the need and use of the safe upstairs to store medicines requiring safe custody.
A request has also been submitted for an authorised witness to attend the branch and witness the destruction of all expired controlled drugs.
SOPs have been reviewed and amended to ensure there is no build-up of medicines requiring disposal and the process of controlled drug entries has been reviewed with the pharmacy manager to ensure no discrepancies occur.
All fridges used to store medicines have been linked to the Pharmsmart portal to ensure daily fridge temperatures are logged.
SOPs have been reviewed and amended to ensure there is no missing entries on the temperature log and all staff have been trained and informed of the procedure around recording fridge temperatures on a daily basis and its importance.
A separate fridge is used and clearly labelled for use of non-medicinal products.
