2.1 The pharmacy team is not managing the workload effectively, which means non-urgent tasks are not being completed. Team meeting to be held to discuss the outcome of the GPhC Inspection including the importance of meeting the standards and the actions required to meet and maintain the standards.

Complete the company staffing and capability document, including review of colleague rota’s

Assess against workload and identify any shortfalls for AOM to address.

Complete and maintain 6 weeks forward planning rotas

Review of training and competence of current team. Document any required training plan. Agree training plan to ensure all training completed and incorporate into the rota.

Utilise Central Fulfilment to maximise off site dispensing to support workload management.


Ensure patients are offered the SMS service to support in management of repeat prescription workload, encouraging patients to collect their medicines once they have received their text.

Review of “Best in Class Processes” to ensure the team are working to the maximum efficiency to support workload management. Training for new Team Leader to be completed supported by neighbouring pharmacy in Bispham by observing best practice.


Operate following “Model Day” process to ensure all tasks are completed.


Looking to source half day additional Pharmacist cover to complete full balance check.


Discuss the importance of the weekly CD balance check in the team meeting. Full CD balance check to be completed weekly ongoing with regular spot checks from the AOM during pharmacy visits.

The pharmacy is cluttered and untidy which makes the workspace less safe and the dispensing operation less effective.

Discuss workflow, and Best in Class processes in the team meeting to ensure colleagues have the understanding and are aware of the importance of following these processes to improve efficiency.

Complete full clean and declutter of the pharmacy and staffing area during out of hours work.

Ensure cleaning rota in place and adhered to.

There are out of date medicines present on the dispensary shelves, fridge temperatures are not being properly monitored, and waste medicines are not appropriately managed.

4.3 There are out of date medicines present on the dispensary shelves, fridge temperatures are not being properly monitored, and waste medicines are not appropriately managed. Check short-dated stock lists recorded on the electronic date checking system against the stock in the dispensary and ensure all OOD stock removed from shelving.
Complete a full date check of dispensary and reorganise and tidy the shelving units.

Team meeting to include discussion on date checking process and re-train colleagues to ensure correct process adhered to at all times (short-dated stock identified, recorded and “use this pack first” alert sticker placed on packaging).

Ensure a date checking rota is in place and adhered to by the colleagues.

AOM to carry out spot check on expiry dates and date checking process during ongoing pharmacy visits.

Team briefed to include additional focus on the date check during the dispensing and accuracy checking procedure in the meantime until full date check of dispensary completed.

Team meeting will include discussion on the importance of fridge temperature monitoring. All the team trained on how to complete this and the criteria for escalation to the RP if it is outside of the range, following SOP 18, Appendix 1. Team Leader to assume responsibility to ensure completion and delegate the task to a colleague in her absence. Regular spot checks to be completed by AOM to ensure adherence to process.

All patient returned medicines to be disposed of in the DOOP bins. Additional collection of excess DOOP arranged to clear the backlog and remove from the path of the fire exit.

Effective management of returned medicines, including segregation from dispensary stock, to be discussed at the team meeting with ongoing monitoring from AOM.
